The Challenge

Just outside Brussels, in Jette, a pedagogical farm welcomes families, schoolchildren, birthday parties, and weeks-long nature camps. Behind every kid feeding a goat, there’s a quietly complex operation: bookings to track, prices that shift depending on residency, attendance to record, attestations to issue. Four years ago, the team came to us with a single, modest ask : a way to handle camp bookings online and tell the farm’s story. That site has since become something else entirely. Year after year, the team came back with new questions and we treated each as a chance to extend the platform rather than rebuild it. School visits joined the booking system, with their own pricing and date logic. Animal info sheets were added so families could prepare their visit. Custom data exports put booking information directly into the administrative team’s hands, removing hours of manual searching. This year, we layered in an in-cart childcare option (flowing straight into the same exports) and an automated system that generates and sends the right documents from the back-office. The site has quietly become the backbone of the farm’s day-to-day. The relationship has too. We now work in flexible hour packs, picking together what comes next from a long shared list — their ideas, our recommendations. It’s the kind of partnership that only works because the volunteer team behind the farm knows exactly what they need, and trusts us to make it possible.

From day one, we built on WooCommerce with a custom architecture designed to be extended over time, not to box the farm into a fixed feature set.

Admin work, automated end to end

Custom exports first put booking data directly into the administrative team’s hands and replacing hours of manual searching across spreadsheets. We then went a step further with an automated back-office system that generates the right documents from the data already in place, and sends them at the right time. What used to be patient manual work now happens on its own.
